Privacy policy

Landscape Co., Ltd. support customers' marketing activities mainly by providing personal information and anonymously processed information (hereinafter referred to as "personal information, etc.) and organizing data customers own. We believe it is our responsibility to collect and use personal information, etc. in a proper manner and to correctly handle personal information, etc. entrusted by customers in our business activities. Landscape shall keep personal information accurate and up-to-date, prevent unauthorized access, loss, destruction, falsification, and leaks of personal information, etc., and make each and every employee comply with the norms in accordance with laws, regulations, and a range of guidelines.

Definition of personal information, etc.

Personal information, etc. to which Landscape refer means information about a living individual which can identify the specific individual by name, date of birth or other description contained in such information (including such information as will allow easy reference to other information and will thereby enable the identification of the specific individual). Anonymously processed information means information relating to an individual that can be produced from processing personal information so as neither to be able to identify a specific individual by taking measures prescribed in accordance with the divisions of personal information nor to be able to restore the personal information to reidentify a specific individual.

Handling of personal information

Landscape shall have a supervisory manager of the department to handle personal information, etc. (Personal Information Protection Department) manage it properly.
Landscape shall use personal information, etc. only within the framework of customer orders. We shall propose to the customer the appropriate measures to protect personal information, etc. in such cases.
Landscape shall provide personal information, etc. to a third party to the extent necessary to achieve the purpose of use thereof upon signing a contract to prohibit re-distribution of such information with such a receiving party.
Landscape shall manage personal information, etc. safely and accurately, and endeavor to prevent unauthorized access to, loss, destruction, leakage, and falsification of personal information, etc.
Landscape shall fully comply with "the Act on Protection of Personal Information" as well as "Guidelines for Personal Information Protection Laws Concerning Fields of Economy and Industry" issued by the Ministry of Economy, Trade and Industry.
Landscape shall implement the internal personal information compliance program on the protection of personal information, etc., have management and employees observe this program and regularly evaluate and improve it.

Purpose of use of personal information

Landscape agrees on the Society 5.0 "super smart society" plan proposed by the government and shall utilize personal information to support data solutions (data management service) as well as marketing activities equivalent thereto.
Definition of "super smart society": a society in which necessary goods and services are provided to the people who need them at the required time and in just the right amount; a society that is able to respond precisely to a wide variety of social needs; a society in which all kinds of people can readily obtain high-quality services, overcome differences of age, gender, region, and language, and live vigorous and comfortable lives.
Data solutions (data management service) refer to data hosting, data cleansing, data enhancement, customer data analysis, event-based research, and depth interview.

Handling of entrustment

Landscape may entrust the handling of personal information, etc. to a third party. In this case, Landscape shall exercise necessary and appropriate supervision over any entrusted person pursuant to the Act on Protection of Personal Information.

Continuous improvements

Landscape shall endeavor to continuously improve the handling of personal information, etc.

Collection of personal information

In principle, Landscape collects personal information via public information including publications and websites. We also collect personal information, etc. from our partner companies and manage it in an appropriate manner. Landscape, in principle, collects personal information, etc. concerning name, address, telephone number, and date of birth and does not collect nor handle sensitive information as listed below:
Special care-required personal information (personal information comprising a principal's race, creed, social status, medical history, criminal record, fact of having suffered damage by a crime, or other descriptions etc. prescribed by cabinet order as those of which the handling requires special care so as not to cause unfair discrimination, prejudice or other disadvantages to the principal.)
Sensitive information (special care-required personal information and information on family origin, registered domicile (excluding information on prefectures where the registered domicile exists), health care, sex life, sexual orientation, and labor unions. However, information which is made public by a principal, government agencies, or press organizations, etc. and expressly recognizable information which is obtainable by looking at a principal or taking pictures of him/her shall be excluded.)
Information that may have fraudulently been acquired.
Other illegal information

Provision of personal information, etc. to a third party

Landscape may provide personal information, etc. to customer companies and organizations within a scope of the purposes of use thereof. As to the purpose of use of personal information we provide, entities to which we provide personal information, categories of data provided to a third party, please confirm our notification regarding the provision of personal information to a third party based on an opt-out, which was submitted to the Personal Information Protection Commission.

When providing personal information, etc., we shall require any receiving party to comply with our code of ethics, laws, regulations and guidelines as with the case of our company.
If an individual as a receiving party requests us to cease to provide his/her information, we shall cease to provide the information and delete it as requested. We shall not in any way provide to a third party information entrusted by our customer companies.

Handling of anonymously processed information

Landscape produce anonymously processed information which is processed in a way to make it impossible to identify individuals to provide it to a third party and plans to continuously produce anonymously processed information in the same way to provide it to a third party. The categories of information relating to an individual contained in anonymously processed information produced shall be sex, date of birth, and information on personal attributes and the categories of information relating to an individual contained in anonymously processed information to be provided shall also be sex, date of birth and information on personal attributes. As to the methods to provide anonymously processed information, we shall use magnetic media, paper media, the Internet, and dedicated lines. Landscape shall strictly observe a separately stipulated "Rules on Handling Anonymously Processed Information" and take measures for safety management of anonymously processed information provided therein. The categories of information relating to an individual contained in anonymously processed information, those contained in information to be provided, and the method to provide it, shall be posted as soon as they are determined.

Suspension, deletion and correction of personal information, etc.

Landscape independently provides the DM Discontinuation Registration Service (automatic Mail Preference System) as a measure to delete and discontinue the use of personal information, etc. By utilizing the same systems on DISH® and LACS®, etc. a data subject holds the right to opt out in regard to how his/her own personal information, etc. is used.

DM Discontinuation Registration Service (Auto MPS)

The user is able to automatically delete his/her own personal information should he or she no longer wish to receive a direct mail by calling a toll-free number printed on the DM envelope and entering the code below the address label. Landscape has been granted a patent on Auto MPS (Patent number 3455112).

Personal Information Protection Department

Personal Information Protection Department is a department
to centrally manage the following tasks;
- Create operational flow and manuals for the protection of personal information, etc.
- Check and manage internal and external data
- Establish regulations and educate employees
- Handle any inquiries and requests regarding the protection of personal information, etc.

When any request for disclosure, correction and discontinuation of use of personal information, etc. is made, we shall immediately investigate relevant facts and address disclosure, correction, discontinuation thereof and termination of information provision (opt-out procedures).

We have appointed Fujio Okita, board member cum CIO, as a chief privacy officer (CPO).

*In case that the European Commission decides that Japan has ensured an adequate level of protection concerning personal data in accordance with Article 45 of GDPR (hereinafter referred to as "adequacy decision"), Landscape, along with Basic Regulations on the Protection of Personal Information as well as Regulations on the Protection of Personal Information and Specific Personal Information, has separately formulated regulations that conform to rules with which compliance is required to receive personal data from the EU on the basis of the adequacy decision.
